Wellness spa sales process: from the first message to a returning client

Lương Y (traditional healer) Tống Văn Huynh · Tong Gia Acupoint Wellness (Huyệt Đạo Tống Gia) · 21/10/2026

Quick summary: The spa sales process at Tong Gia is a fixed sequence of steps from the moment a client sends a message to the moment they return: consulting, booking, welcoming the client, a first session with face reading and searching along the spine, suggesting multi-session care, and then follow-up care. This is the third part of the L4 Master and Transfer course; the fourth part is the client management CRM.

Selling at a wellness spa is different from ordinary selling

Learning to know how to do it and apply it right away: a class at Tong Gia. A real Tong Gia clip.

Clients who come to a wellness service are usually tired, tense, or worried about their health. They do not want to be pressured. Tong Gia's way of selling rests on one idea: let clients understand their own bodies first, then let them choose for themselves. The consultant explains without pushing; the practitioner lets the client feel it without making promises.

So the sales process here is not a single closing line. It is a whole sequence of experiences, with each step having someone responsible and a record kept.

The spa sales process in the Tong Gia model: 6 steps

  1. Reply to messages quickly and answer the actual question. If a client asks about prices, state the prices clearly; if they ask for the address, send a map. Have template answers ready for common questions, but still reply like a real person.
  2. Ask to understand, then invite them to book. Ask where the client feels tired, whether they have had wellness care before, and whether they have any underlying conditions. If there are signs they need to see a doctor, tell the client honestly.
  3. Confirm the booking and send a reminder before the appointment. A short reminder message significantly reduces missed appointments.
  4. Welcoming the client and the first session. The practitioner reads the face, asks about habits, searches along both sides of the spine, and then explains to the client in plain language which areas are tense. This is when the client sees the difference of the spinal nerve-reflex balancing method.
  5. Suggest multi-session care without pressure. After the first session, the consultant suggests a suitable care schedule and lets the client decide. If the client is not ready yet, still see them off cheerfully.
  6. Follow-up care. Check in after the session, remind them of the next appointment, send birthday greetings. Clients come back because they are remembered.

The course gives partners scripts for each step, ways to train the front desk and practitioners, and the things that must not be said.

Recording every client: connecting the sales process with the CRM

Every step in the sales process leaves a trace: which channel the client messaged from, which day they booked, who did the first session, whether they have been reminded about follow-up care. That information must sit in one shared place, not on each staff member's phone. That is the job of the CRM, the fourth part of the L4 course. Tong Gia has written a separate article about this part: CRM for spa client management.

Each week, the business owner only needs to look at three numbers from the sales process: how many messages turned into appointments, how many appointments turned into visiting clients, and how many clients came back a second time.

Common sales mistakes at spas

  • Closing a big package in the very first session when the client does not understand anything yet.
  • Promising results in order to make a sale.
  • Nobody messages the client again after the session.
  • Client information sits on each staff member's phone; when someone leaves, the clients are lost.

Tong Gia is a hands-on wellness care service, not a medical service. Businesses receiving the transfer also keep this principle: if a client has prolonged pain, increasing numbness or weakness, or an underlying condition, staff advise the client to see a doctor at a medical facility and do not take on the session in its place.

Frequently asked questions

How many steps are in Tong Gia's spa sales process? 6 steps: replying to messages, asking to understand and inviting a booking, confirming and reminding the appointment, a first session with face reading and searching along the spine, suggesting multi-session care, and follow-up care.

How do the sales process and the CRM differ? The sales process is the steps you take with the client. The CRM is where every one of those steps is recorded for each client, so nothing is missed and the numbers can be read.

How do you sell care packages without clients feeling pressured? Let clients understand their own bodies through the first session, explain clearly, suggest a suitable schedule and then let them decide for themselves. Do not promise results to make a sale.
